Reclassification - Requesting a Position

Changes in the organizational structure, type of work, and workload required of an office or department may make it necessary to establish new positions. Substantial changes in an employee's duties, responsibilities/competencies may mean that the employee's position classification needs to be reviewed.

Allocation and Reallocation

New and additional permanent, time-limited, full-time or part-time positions are established by defining the assigned duties/ competencies, and assigning those duties/competencies to an official classification. This is referred to as the allocation of a position to a classification. Reallocation is the assignment of a position from one class/band to another as the result of a change in assigned duties/competencies.

The establishment of a new position and reclassification action is initiated by the supervisor of a department or office.

Requesting Position Re-classification

 

Procedure Steps

  1. The supervisor must complete the form entitled Request for SPA Job Study (pdf-11.8KB) (See Human Resource Services, Appendix 24). The form must be returned to the Class and Comp Analyst with the appropriate signatures. Click here to access the forms
  2. Human Resource Services will recommend the appropriate job description form to be completed by the supervisor.
  3. The form should be submitted to Human Resource Analyst where the description is reviewed and in some cases conducts a desk audit. Human Resource Services analyst will make the decision to re-classify the position in a certain class, at a certain level, or a new band. For those classes and levels for which Human Resource Services has authority to approve, then the classification and approval has been completed. Forms are submitted to the Office of State Personnel for approval of those classes/levels/bands for which there is no Human Resource Services authority.
  4. The immediate supervisor will be notified in writing of the action taken on any position which has been established or evaluated.

Completing the Position Description

 

Procedure Steps

The supervisor should complete the appropriate position description form, obtain approval signatures, and attach current organizational chart. Any interviews needed will be conducted by the analyst.
